PDF Document Title Rules 2021-08-27 To make the PDF’s URL as stable as possible we have to keep the document name stable over time and revisions. Use theses PDF file naming rules: 1) The file name should be the exact title of the PDF's content title. Use subtitles only if needed to differentiate from an existing PDF file name. 2) If there is a conflict with an existing file name, then add additional descriptive words. For example: a. “introduction” or “presentation” or “flyer” b. “chapters 1-2” and “chapters 3-4” c. “part-one” and “part-two” d. “pacific-southwest” or “southern-california” 3) Make all characters lower case. 4) Write out all abbreviations and acronyms that are more than 4 letters. 6) Remove all numbers, words, or letters representing a version value. 6) Remove all numbers and words representing a date or time value. a. Exception for newsletters: Actually or potentially repeating PDFs with time relevant content can have date label in the middle, but do not start the name with a date. Also, add a descriptive words after the date value. Such as “air-quality-flag-program-winter-2021-newsletter.pdf” b. Exception for repeating events: Documents relating to repeating events like Air Quality Awareness Week can have date labelin the middle, but do not start the name with a date. Also, add a descriptive words after the date value. Such as “air-quality-awareness-week-2021-social-media-challenge.pdf” 7) Any translated document shall have a translated version of “in ” at the end so that readers of that language can read the language that is available. Try not to use special characters in other languages. For example: a. Spanish version ends with “-en-espanol” b. French version ends with “-en-francais” c. Tagalog (Pilipino) version ends with “-sa-tagalog” d. Arabic version ends with “-بالعربية” e. Chinese (Simplified) version ends with “-用中文(表达” 5) Replace all spaces with single hyphens. Double checks 8) Remove all words attempting to label version control. Such as “revised”, updated”, “improved”, and ”final”. 9) Remove any author names or initials. 10) Check the spelling of all words.
